WARRANTY ADMINISTRATOR

We are looking for an experienced and organised Warranty Administrator to join our busy Aftersales team at our multi-brand site in Bedford.

Working across a diverse range of manufacturers including Fiat, Abarth, Alfa Romeo, Jeep, SEAT, Hyundai, Omoda and Jaecoo, this is an excellent opportunity for someone who enjoys a varied role and takes pride in ensuring warranty claims are processed accurately, efficiently and within manufacturer guidelines.

The Warranty Administrator plays an important role within the Aftersales department, ensuring that warranty work carried out by the Workshop is correctly documented, submitted and reimbursed by the manufacturer. You will work closely with Technicians, Service Advisors, the Workshop Controller and management to ensure that all warranty repairs meet the required manufacturer standards and that the dealership receives the maximum appropriate financial return for work undertaken.

The Role

Your responsibilities will include, but are not limited to:

  • Accurately processing and submitting manufacturer warranty claims in accordance with individual manufacturer requirements and deadlines.
  • Checking completed repair orders to ensure all necessary information, labour operations, parts, diagnosis and supporting documentation are recorded correctly.
  • Reviewing warranty repair orders for accuracy and identifying any missing or incorrect information before claims are submitted.
  • Ensuring warranty claims are submitted within the required timescales and monitoring their progress through to payment.
  • Preparing claim forms and providing all necessary supporting documentation and evidence to support warranty submissions.
  • Liaising with the Workshop and Service teams to resolve any queries or obtain additional information required to process a claim.
  • Monitoring rejected, queried and returned claims and taking appropriate action to ensure they are corrected and resubmitted promptly.
  • Ensuring manufacturer warranty payments are accurately recorded and processed.
  • Raising and processing credit notes and associated warranty paperwork where required.
  • Managing the return of warranty parts to the manufacturer in accordance with manufacturer procedures and timescales.
  • Maintaining accurate warranty records and ensuring all documentation is complete and readily available for audit purposes.
  • Reconciling the warranty schedule and investigating any discrepancies or outstanding amounts.
  • Monitoring outstanding warranty claims and ensuring these are followed up through to resolution.
  • Working closely with manufacturer warranty departments and representatives when required.
  • Keeping up to date with changes to manufacturer warranty procedures, policies, systems and claim requirements.
  • Supporting the Aftersales management team with warranty reporting and ensuring warranty processes are followed consistently.
  • Helping to identify opportunities to improve warranty administration processes and reduce rejected or delayed claims.

As you will be working across multiple brands, attention to detail and the ability to understand and follow different manufacturer processes will be particularly important. You will need to be comfortable working with different warranty systems and procedures and be able to adapt quickly when requirements change.

The role requires someone who is highly organised, methodical and commercially aware, with a strong understanding that accurate warranty administration has a direct impact on the financial performance of the department.

You must have the ability to work well under pressure, handle conflicting demands, identify priorities and schedule your workload appropriately. You will need to be confident communicating with colleagues across the Workshop and Aftersales departments, while also being able to work independently and manage your own workload.

About You

Ideally, you will have previous experience in a Warranty Administration or Aftersales Administration role within the motor trade. Experience of working with manufacturer warranty systems would be advantageous, particularly within a multi-brand dealership environment.

  • Is able to prioritise effectively in a busy Aftersales environment.
  • Has a positive attitude and a willingness to learn and develop.

Previous motor trade experience is preferred, although we would also consider candidates with strong administration experience who can demonstrate excellent attention to detail, organisation and the ability to learn manufacturer processes quickly.

Working Hours

45 hours per week, Monday to Friday.
